Officer Reports:

President:

The BOD held an Annual Meeting on 10-12-23 without quorum but provided information. There are many new things that will be discussed tonight.

Treasurer Report.   

The Treasurer is looking to find a better way to get better investments.

Finances:

The Balance Sheet:  

Operating Expenses:  $67,295.11

Profit and Loss:  $18,360.27 against $24,067.67; 

net loss of -$5,437.24

Net Income:  $162,807.97

  • Total Delinquencies:  $13,145

    • There is a lien on one homeowner.  The total cost to pursue is $2,000.  The BOD is investigating the pursuit of this lien.

Secretary Report

  • The Annual Meeting notes are posted on the Community Website under HOA meeting minutes.

  • RV Lot.  Non-compliances is being addressed.

  • Holiday Lighting Complete

  • Gym.  Huntsville Fitness has fixed the lateral machine.  Reminder to the community if you break something or see something broken please let the HOA know.  Please do not let something that needs attention in the community sit without notifying the HOA.

  • Updates and reminders sent to the community

  • The Board encourages every homeowner to attend.  Please send agenda items to info@woodmilltracehoa.org 7 days prior to the HOA meeting so the board can address any questions or issues you may have. 

  1.  New Business

  1. Need an Architectural Committee.  

    1. Please refer to the CCN&Rs what is allowed.  The community is to look uniform to keep up our property values.  

    2. The Management company is to be driving around and ensuring we are all meeting what we all signed up to do

    3. The BOD will send out an email to homeowners to solicit volunteers to join this committee.  

  2. The next BOD Meeting  - Thursday, February 1, 2024

  3. Holiday Decorating was complete the week of 4 November

  4. Christmas Dinner  - 9 December 2023 at 5:30p.m. HOA will provide Turkey and Ham.  The remainder will be potluck by homeowners.  

  5. Pool Gate.  We have an old IEID FOB  system that allows us access to the pool and gym.  There are two backup batteries that also need to be replaced.  The BOD is working through the immediate fixes to the old system.  The complete fix will require a new system. This budget will be in the reserve funds.

  6. Sprinkler systems is shut down for the Winter.  Due to homeowners that have stopped their irrigation system the community has had to expend additional funds to troubleshoot irrigation issues to other homeowners.  Other issues were broken pipes.  We will continue to have irrigation issues continually as we go forward. 

Old Business  - all in work

  • Accurate homeowner roster

  • Organization:  Historical and Current HOA Business

  • Reserve Study.  Will be discussed at the first of the year

  • 2024 Budget.  This is due before the end of December.

  • Landscape Report.  

    • Pine Straw.  Pine straw is being put in a trial area to replace the mulch in the community.  The Landscaping committee has done extensive research and there was all positive inputs received from experts.  The majority of the feedback from the homeowners who attended the BOD meeting tonight was very positive.

    • The landscaping committee provided the plan for the flower beds outside by the pool.  The BOD approved the cost of the plants in a previous meeting.  Due to winter, the plants will be planted in the Spring.

    • The landscaping committee is working with the arborist to trim the trees throughout the community.

    • ALM will come every Tuesday for blowing only.  If you want something done in the backyard let ALM know.  Otherwise you don’t need to leave your garage open.

  •  Pool Area

    • Shut down for the winter.  Will reopen in May.  Pool lights will need to be turned out.  Johnson Pools have been called to fix the anchors and stop the pump running.


  • BOD Manual.  BOD Manual is scanned, Thanks to Tryston Gilbert for scanning.  A portion of the manuals are posted on the website under owners area then community amenities then Original Home Packet Information.  We are working on getting a few more documents posted as soon as we can minimize the file size due to a size limit on the website.

  • Homeowners Forum – (3 Minutes per Homeowner)

    1. Concern about parking on the grass especially on Rushing Wood Drive.
