WOODMILL TRACE HOA MEETING

Meeting was called to order by President, Ronny Marino, at 6:32 pm.

Each Board Member was presented with a copy of the minutes from the previous meeting held on January 10, 2023. The minutes were unanimously approved with no corrections needed.

President’s Report

No new monthly financial report packages from EREM yet but it should be presented to the BOD in the next day or two.

Treasurer’s Report

The website domain renewal fee is upcoming. Suggests changing the payment method from the previous method of a personal credit card to having EREM pay it.

Officially transferred all of the remaining operating funds from Cadence that are either in a CD or at EREM. The money market account is still at Cadence.

Secretary's Report

The first Thirsty Thursday event was a success with a large crowd. We will continue to have Thirsty Thursdays on the last Thursday of every month.

RV Lot letter sent out from EREM and fees are due March 1, 2023 instead of February 15, 2023.

EREM also sent out the budget. 7309 Mill House Walk questioned the ~$4K increase for Riley Security since last year. President stated that is due to the rate changes from last year and not a change in contract.

Old Business

Airbnb lawsuit discussed. We are still in 45 day appeal period. We are not doing anything until that expires. The case was thrown out. The Airbnb is still listed online. Fines are accruing.

New Business

Safety concerns – Dark alleyways and streets. Suggests buying “dusk-to-dawn” lightbulbs for garages/ alleyways. No specific incidents or crime. However, there have been reports of homeless people around our area. Be proactive in your and your neighbor’s safety.

Neighborhood Watch- Not recommended to start an official group. However, we can all be good neighbors and look out for one another. Call police if you see anything suspicious.

Landscaping- Discussed soil needing to be replaced, plant grass/decorative grass/plants around trees, where grass isn’t growing. Called several professionals (ALM, Enchanted Forest, an Arborist, Looks Matter) to provide quotes and suggestions. Will schedule meeting for evaluation.  

Issue with trees/roots growing under sidewalks which is city property. Report issues to Click It & Fit It website (www.seeclickfix.com).

Garbage trucks are tearing up the grass around corners. 1707 Rushing Wood has taken pictures and will submit to BOD to submit to sanitation supervisors and file complaints.

Dog park- BOD not in favor of a dog park due to litigation and health issues. Residents are encouraged to walk dogs on leash. Long leashes are acceptable.

Pool – Scheduled to open around April 15, 2023. Treasurer called Anders and plans to set up a meeting in March to discuss the pump issues. Currently, the pump works but it needs to be optimized. Discussed other options to meet with other contractors as well.

Reserve Budget- Long-term budget and costs were discussed. The BOD plans to create a list of all items that will possibly need to be replaced/ repaired (i.e. clubhouse roof, parking lot, A/C, pool liner, chairs, pump, pool deck, etc. ) and will look into costs involved.  Mentioned asking EREM for examples from other neighborhoods they manage.

The cars parked in the pool parking lot overnight was discussed as it is permitted per the community rules. However, the cars that are continuously parked in the lot throughout the day are questionable.

Secretary suggested buying an A-Frame sign to start putting out in front of the clubhouse for events and announcements. The BOD approved the purchase of the sign and posters to insert.

Discussed using text messaging as means for communication amongst the residents. BOD will ask EREM to submit a survey asking for preferred method of contact.

The next HOA meeting scheduled for Tuesday, March 14, 2023 at 6:30pm.

Concerns about Riley Security brought up again. Often times, they are not sending morning emails to Secretary regarding the previous night’s shift report. Secretary will contact the CEO to discuss and request credit for these nights.

New exterior paint color code provided by resident 7312 Woodmill Way. Will add these codes to the website.

1825 Rushing Wood voluntarily fixed the broken treadmill in the gym.
